Best practices when sending emails

When sending emails, you must meet certain conditions to improve the reputation of your domain, and not end up in black lists or classified as spam. Even if your domain is new and you do not follow these practices, your messages can be spammed or not delivered without reason.

In ClickPanda, our servers are designed to work against the sending and receiving of spam, however, these filters learn the classification of a message over time, therefore, you must follow these practices when sending emails from our servers:


1. If you are using HTML emails, always include a text version in the email for your readers (and antispam filters), and keep the plain text as similar to HTML text as possible. The more similar the two texts are, the less likely they are to be considered as spam.

3. Do not use our corporate mail service to send transactional messages, automated messages, contact forms, SMTP relay, Email marketing or distribution of mass messages, our service has a limit of 100 messages per hour and is restricted for sending corporate messages and personal.

5. Keep your mail database clean, avoid forwarding messages to non-existent users or retry sending messages to addresses that have already bounced before.


6. Keep the distribution of your email as simple as possible. Avoid complex formatting (a complex format email may look better, but it will reach a smaller number of readers).

7. Check the subject of the message: never use exclamation marks (!), CAPITALS, and words such as "free", "guaranteed", or text with spaces (e s t e e s u n t e x t o c o n e s p a c i o s)

8. Avoid generic introductory formulas such as "Dear User"; It is even better to avoid any kind of greeting.

9. If you are using HTML emails, create high quality HTML emails. Do not use tools that generate poor quality HTML code (for example MS Word). These tools generally leave their traces (for example empty tags) which are usually present in spam. Unbalanced tags and invalid tags will also alert antispam filters. If you use a title, make sure it has a meaning - the default titles generated by HTML tools are considered as signs of spam.

10. Do not insert active components (javascript, ActiveX, plug-ins) in your email. If you need rich content, place a link to a page with rich content hosted on your website.

11. Do not insert too many graphics in your message. The less pictures you have in your email message, the greater the likelihood of successful delivery.

12. Avoid attaching files; instead, you can use links to files hosted on your web server.

13. Use well-written writing tools. Well-built (technically correct) emails can easily pass anti-spam filters. E-mails with MIME sections, invalid or missing, missing message identifiers, invalid or missing date headers, unicode subject lines not properly coded, etc. often represent signs of spam.

14. Avoid unnecessary encodings. Do not use base-64 encoding unless you really need it.

15. Do not include a note claiming that your email does not constitute spam. Do not proclaim compliance with legal criteria, especially those that do not apply to your country. Only spammers need to proclaim compliance, those who are guided by the good practices of mass mailing, are already in compliance.

16. Use a normal conversation vocabulary, make sure you do not abuse the spaces or capitals in the email subject.

17. Do not use "decorated" scripts, Do not use E.S.P.A.C.I.O.S in your messages, do not use any external characters in your email.

18. If you use HTML emails, do not use invisible images to track your emails. If you want to track your emails and your readings, use visible graphics as part of your email, not invisible graphics.

19. Do not include references to spam issues. Do not talk about rolex watches, sexual activities, drugs or debt treatment, unless these matters are directly related to your email. If it is related, it limits the email message to a single theme at a time. A massive email that mentions rolex watches, Viagra, pornography, and credits in the same email, will probably fail to comply with various antispam rules and will be filtered, even if the rest of the content is correct.

20. Do not use tools used by spammers (for example, those promoted on sites related to spam).

21. Make sure that your privacy policy, including its scope and contact information can be easily found and is clearly stated on your website. It is considered a good practice to include in your bulk emails a link to your privacy policy and contact information. It also includes a method for your recipients to cancel their subscription to your emails.

22. Be careful where you advertise your website, and be careful with the advertised content. If you advertise with companies that send spam, your domains will be marked as related to spam. If you advertise to spammers, your domains will also be spam related.


Remember that no mail provider can guarantee the delivery of the same, since the receipt of mails depends on the destination server, which is not under our control. If you follow these practices, your messages have a low probability of being spammed, however, recipients can decide how to mark your message. If many messages in your domain have been marked as spam, even following these steps, you should reduce the sending of messages and clean your recipient database to minimize the rebound rate.
